Knowing whether somebody has logged in tells you that they accessed an application. It does not tell you whether they used it productively, adopted the capabilities the organization paid for, or need their current subscription level.

Deeper monitoring enables IT and procurement teams to make more informed subscription decisions. They can:

  • Downgrade users who do not use premium functionality
  • Retain advanced subscriptions for employees who depend on them
  • Identify teams that may benefit from additional capabilities

This makes it possible to distinguish between a tool that is genuinely taking hold and one that employees access without fully adopting.

If usage remains shallow, the answer may not be to remove the application immediately. Employees may need better onboarding, more relevant training, simplified workflows, or clearer communication about how the tool supports their work.

Feature-level monitoring helps identify the appropriate intervention.


Improve Training and Change Management

Traditional adoption programs often rely on attendance records, surveys, or login statistics. These measures provide useful context, but they do not show whether employees apply what they have learned.

Feature usage provides a clearer feedback loop.

After a training session, IT can examine whether the targeted functions are being used more frequently. Following a product update, teams can see whether employees adopt the new workflow or continue using an older method. When adoption differs between departments, successful teams can reveal practices worth repeating elsewhere.

This allows organizations to:

  • Identify specific features that require additional training
  • Target support toward teams that need it most
  • Measure the effect of onboarding and adoption campaigns

That difference can determine which platform should be retained, consolidated, or replaced.


Strengthen Security Through Better Visibility

Unused applications, dormant accounts, and forgotten software can increase an organization’s attack surface. Each unnecessary tool represents another system that may require access controls, updates, monitoring, and support.

By understanding both access and actual usage, IT can:

  • Identify dormant accounts and inactive software
  • Remove unnecessary applications from managed devices
  • Review access that is no longer connected to a business need
  • Prioritize actively used and business-critical tools
  • Reduce the number of systems that must be maintained and secured

Better usage visibility supports a simpler environment — and a simpler environment is generally easier to protect.


Turn Usage Data Into Better Decisions

Effective software monitoring should connect four questions:

  1. Who has access?
  2. Who is actively using the application?
  3. Which features and workflows are they using?
  4. Is usage developing in a way that delivers business value?

Together, these insights help IT move beyond reactive license recovery. They support subscription right-sizing, adoption management, training decisions, application consolidation, security improvements, and more confident renewal negotiations.


Final Thought: Monitor Value, Not Just Access

Software usage monitoring is no longer only about finding inactive licenses.

Login data can show that an application was opened, but it cannot demonstrate that the application was adopted or that the user needs every capability included in their subscription.

Organizations need visibility into the functions and features employees actually use. They also need to understand whether adoption is broadening, deepening, and progressing over time.
